Booking Policy

1. Overview & Direct Booking Benefits

Varaa Villa Mysore offers exclusive whole-villa reservations for families, couples, and verified groups seeking complete privacy, an indoor private pool, and peaceful surroundings. Direct booking via WhatsApp or our website is our recommended channel, ensuring guaranteed best rates, zero platform commissions, and direct personalized host coordination.

2. Reservation Process & Confirmation

  • Inquiry: Submit your dates, guest count, and contact details via our website booking form or WhatsApp (+91 81973 33646).
  • Availability Check: Our host will verify the villa calendar and confirm availability within a few minutes.
  • Advance Payment: To block your selected dates on our calendar, an advance deposit (typically 50% of the total booking value) is required.
  • Confirmation: Once payment receipt is verified, a booking confirmation message with check-in instructions, location pin, and stay details is issued to you.

3. Occupancy & Guest Requirements

  • Capacity: Standard occupancy is 4 to 6 guests across 3 bedrooms and 3 bathrooms. The maximum permissible guest count is 6.
  • Identity Verification: All adult guests must submit valid government photo ID (Aadhaar, Passport, Voter ID, or Driver’s License) prior to or at check-in.
  • Group Policy: Bachelor-only all-male groups are strictly not permitted. Families, couples, leisure travelers, and mixed groups are warmly welcomed.
  • Day Visitors: Day visitors or unregistered outside guests are not permitted on the premises without prior approval from the host.

4. Check-In & Check-Out Timings

  • Check-in Time: 2:00 PM to 6:00 PM IST. If you plan to arrive after 6:00 PM, please coordinate with our host in advance to ensure smooth handover.
  • Check-out Time: Before 11:00 AM IST. Timely check-out allows our housekeeping staff adequate time to thoroughly clean and sanitize the villa and pool for incoming guests.
  • Early Check-in / Late Check-out: Requests are subject to villa calendar availability. Early check-in (before 2:00 PM) or late check-out (after 11:00 AM) may involve nominal hourly fees.

5. Payment Terms & Modes

  • We accept payments via UPI (Google Pay, PhonePe, Paytm), NEFT/IMPS direct bank transfer, and verified payment links.
  • For direct reservations, the remaining balance of the booking amount must be settled prior to or upon physical arrival at the villa.
  • For reservations made through Airbnb or MakeMyTrip, payment collection and billing terms are handled directly through those platforms.

6. Cancellation & Refund Policy

Because Varaa Villa is rented exclusively to one private group at a time, reserved dates cannot easily be rebooked on short notice. Our cancellation policy for direct reservations is as follows:

  • 7+ Days Before Check-in: 100% full refund of the advance deposit, or 100% credit applied toward rescheduled dates within 6 months.
  • 3 to 7 Days Before Check-in: 50% refund of the advance deposit.
  • Less than 72 Hours (3 Days) Before Check-in: Advance deposit is non-refundable, as the calendar has been reserved exclusively for your party.
  • Third-Party Bookings: For stays booked through Airbnb or MakeMyTrip, the specific cancellation policy chosen at the time of reservation on that platform will strictly apply.

7. Rescheduling & Date Changes

We understand travel plans can change. Guests may request a one-time date rescheduling at least 7 days prior to their original check-in date at no extra penalty, subject to calendar availability and any seasonal rate variations.

8. Security Deposit & Damage Terms

A refundable security deposit of ₹3,000 to ₹5,000 may be requested at check-in. This deposit will be returned in full upon departure following a brief property inspection, provided:

  • No physical damage or breakage has occurred to villa assets, electronics, or pool equipment.
  • No indoor smoking or unauthorized pets have been brought into the property.
  • No violation of the 10:00 PM residential noise curfew has occurred.
